How to read a message "bounce" report
Problem messages will be returned to you, or "bounced." The error notice will give you some indication of why the message bounced. The reason is usually a bad address.
Internet-style addresses contain two parts separated by the "@" sign, as in username@hostname. CGNET addresses are all valid Internet addresses. For example, the addresses J.Duffield@cgnet.com, S.Gilmore@fordfound.org, J.Jaber@ifad.org, and David.Dion@fao.org are all valid Internet addresses despite small differences in the formatting. All Internet addresses require the username@hostname format.
When reading error messages, remember that:
"Illegal Host or Domain Name" means there is a problem in the part of the address to the right side of the @ symbol. Most often, it indicates a spelling error or a host computer name that is incomplete.
"Unknown User" refers to a problem in the part of the address to the left side of the @ symbol. Usually the problem is a misspelling in the username. Check punctuation marks such as periods or underscores to ensure you haven't accidentally put in a comma or a hyphen.
Other error notices refer to other mistakes. For example, if you type more than one "@" sign, or use a different symbol by mistake, you will also receive an error message.
Address suggestions:
To assist customers with get bounced messages the CGNET postmaster often sends a follow up address suggestion message.
- When CGNET customers are trying to contact non CGNET users, the postmaster (PM) sends an address suggestion to the customer based on patterns she/he has seen before. This is only a suggestion and may not always be valid. The PM therefore suggest that if the customer has previous e-mail from the correspondent they are trying to reach they verify the correspondent's address by looking at the lines of header information that precede the message. Usually, the correct Internet format address is found on the line called "Return Path", "From", or "Sender".
- When non CGNET members are trying to contact CGNET customers the PM can verify names against those members listed in the SMTP directory maintained by CGNET. In some cases when an individual listing for person isn't in this directory the PM might suggest that the non CGNET user send a message to the general institute e-mail box where the individual might be working and ask them to forward it on to the correspondent for them.
