Initial Creation of Public Folders
Go into the Exchange Client, File, New Folder.
Type in the name of the folder.
The Public Folder is now created.
Replication of Public Folders
If you want to replicate your folder to another site, you must configure the following:
- Go into the Exchange Administrator Program
- Highlight the Public Folder you want to replicate.
- Choose File, Properties
- Under the General Tab: Set the Age Limit to 100 Days.
- Replicas Tab: Choose the Sites you want to replicate. Do this for whatever site you want to replicate. Click on Site, then add. Make Sure you add the Site CGIAR\NOCHUB, so CGNET has a copy.
- Replication Schedule Tab: Schedule the times you want to replicate. We suggest doing this at night
- Advanced Tab:You may want to hide this from the address book. You can also set up Storage Limits on the folder.
- Permissions: If you do not see the Permissions Tab, go to Tools, Options, Permissions. Choose Show Permissions Page for all objects.
- Now Save your Changes.
Setting Public Folder Defaults
In Exchange Administrator, go to your Site Page, Choose Servers, Choose your Server by clicking once.
On the Right Hand Side you should see Public Information Store. Choose that.
This page is for general Public Folder Defaults for ALL PUBLIC FOLDERS.
You can configure items like Storage Limits, Schedule, Age Limits.
Controlling Creation of top Level Folders
Go to your Site, Choose Configuration. On the right side, choose Information Store Site Configuration.
Choose the Tab: Top Level Folder Creation
Under Allowed to create top Level Folders, choose one or two people to have Top Level Folder Creation.
Do not allow users the ability to create top level folders. It can get out of hand. Plus, the rest of CGIAR will be able to view them.
Setting up Schedule Plus between Sites
Go to the Exchange Administration Program.
On the left hand side, Choose Folders, System Folders
Click on SCHEDULE + FREE BUSY
Choose the folder that corresponds to your site.
Note: A lot of this is the same as setting up public folders:
- Under the General Tab: Set the Age Limit to 100 Days.
- Replicas Tab: Choose the Sites you want to replicate. Do this for whatever site you want to replicate. Click on Site, then add. Make Sure you add the Site CGIAR\NOCHUB, so CGNET has a copy.

Note: You cannot open appointment books across sites. What you can do is invite to meetings and view the Free-and-Busy Schedules across sites.
Note for the Client Exchange application: You can add Schedule+ to the ToolBar by choosing Customize-Toolbar-Add from the Tools item on the Menu, and choosing Schedule+
